RAF- Admin Assistant vacancy

Main Purpose of Role:

To assist in providing an efficient document management service to the East London Regional Office, Head Office and other RAF regions.

Job Duties

•Receive, register and stamp incoming correspondence.
•Prepare documents for scanning.
•Separate incoming mail from incoming faxes and sort according to destination.
•Prepare outgoing mail for posting.
•Ensure that outgoing mail is correctly priced and franked.
•Record details of all registered mail and Docex Tracker mail.
•Declare monies received and capture in register.
•Prepare bulk mailing.
•Ensure files, correspondence and all other documentation is filed according to established policies and procedures.
•Check addresses and ensure Docex post is sent to the Docex office, normal and registered mail to the Post Office.
•Ensure that mail and files are validated and prepared before scanning.
•Sort documents according to document class and insert separator pages between classes.
•Ensure that all scanned mail and files are indexed and successfully released to Share Point.
•Ensure that all mailroom-related equipment is serviced, and in good working condition at all times.
•Maintain the franking machine in terms of physical maintenance and loading money.
•Ensure efficient and timely delivery of mail within the RAF.
•Ensure that registered mail tracking stickers and Docex label stickers are available or ordered in time.
•Ensure that requests for copying, binding and laminating are executed efficiently and timeously.
•Monitor quality of copying, binding and laminating.
•Arrange courier service for delivery of items.
•Ensure that the copying, binding and laminating machines are well maintained and in working order.
•Ensure that Courier Request Form is authorized by Senior Manager,
•Ensure delivery details are correctly recorded on the waybill and recorded in the register.
•Insure items if necessary.
•Receive, stamp and sort summonses received.
•Check documents and contact attorneys for further information or reference numbers.
•Capture documents in summons register.
•Capture and verify information recorded on the •Banking Indemnity Forms.
•Liaise with stakeholders.
•Ensure that critical timeframes is adhered to.

Minimum Requirements and Experience 

Matric Certificate/Grade 12 @ NQF Level 5 or equivalent
Relevant 1 year experience in an administrative environment

Salary Offer

The total cost to company the minimum remuneration package applicable to this position is R185 338.00 per annum and will be negotiable commensurate with experience
